2. Information We Collect

To provide registration and ticketing services, Freo Events collects the following categories of information:

• Organizer Credentials: Name, professional email address, and authentication tokens provided when registering an organizer account.
• Attendee Registration Data: Name, phone number, email address, school or institutional affiliation, and grade/year level submitted during event registration.
• Payment and Transaction References: Unique Transaction Reference (UTR) numbers, receipt confirmation screenshots, and ticket selection identifiers.
• Custom Organizer Fields: Information requested directly by event creators through customized registration forms.

3. Data Roles and Governance

Under applicable privacy regulations, including the Digital Personal Data Protection Act, 2023 (DPDP Act) of India:

• Event Organizers act as independent Data Fiduciaries (Controllers) responsible for determining the purposes and lawful basis for collecting attendee information.
• HaiCLOP Labs operates as a Data Processor, handling attendee data strictly in accordance with organizer instructions to generate tickets, verify transaction records, and maintain event rosters.

4. Google Workspace Integrations

Freo Events offers integrations with Google Drive and Google Sheets to streamline data management for organizers:

• Automated Data Transfer: When an organizer enables Google integration, registration records and uploaded payment files are transferred to spreadsheets and folders created within that organizer's personal Google Drive account.
• Scoped API Access: We request OAuth permissions strictly necessary to create and manage files explicitly generated by Freo Events. We do not inspect, modify, or retain access to unrelated files in your Google account.

5. Cookies and Storage

Freo Events uses essential browser session storage and technical cookies exclusively for authentication, security rate-limiting, and form state preservation. We do not deploy third-party advertising cookies or cross-site tracking scripts.

6. Data Retention and Security Standards

We retain personal data only for the duration necessary to satisfy registration, verification, and legitimate operational requirements. Data stored on our primary infrastructure is secured using Row Level Security (RLS) policies and encrypted transport protocols (TLS 1.3).

7. Data Subject Rights

Subject to applicable law, attendees may request access to, correction of, or deletion of their registration data. Because individual event organizers maintain control over event rosters, attendees should submit data requests directly to the organizer responsible for their event.
